How we process personal data
New regulations about how personal data can be collected and processed will be enforced on May 25, 2018. They are called GDPR (General Data Protection Regulation) and they are common for all members of the EU. This gives you a better control of your own personal data. You can for example ask for a view of the data you have provided and also have corrections made or even to have data deleted. You do not need to take any action on this information, but it is important that all our guests are aware of how personal data are being processed by Akademihotellet.

Purpose and legal grounds for treatment of personal data
Our objective is to provide hotel rooms, conference facilities and meals. Your personal data will be processed and saved in our customer database, which makes it possible for us to make agreements and reservations with you. Your personal data, which also can be used for Akademihotellet´s legal obligations or to meet a justified purpose, are being processed so you can make use of our services. They are saved only for the period of time necessary for this purpose. We can also use your personal data for contact regarding reservation issues or for our own sales marketing. Your personal data are being processed according to legislation and good market practice. When your consent is legally necessary for using certain personal data, we will contact you for this in advance.
Origins of Personal Data
Personal data about you are processed by us as they have been presented to us in your reservation or in other communication with us. These data can be your name, your travel company, personal ID-number, passport number, date of birth, address, cellphone number or email address. Our electronic card lock system also registers certain data when passing through locked doors. Date, time and card number are stored for a limited period of time (maximum 414 passages/door).
Video Surveillance
For the safety of our guests, we have an internal four camera CCTV – system. These cameras cover all entrances to our premises. Recorded material is stored for maximum seven days on a well-protected server at our IT-partner. The purpose with camera surveillance is to counteract and prevent crime in the hotel. Legal ground for our decision to use CCTV is a balance between personal privacy and maximum security for our guests. We consider hotel security most important. Who can have access to your Personal Data?
We can eventually transfer your personal data to authorities or external collaboration partners when this is necessary to fulfill our commitment to provide accommodation, conference service or meals etc for you. Your personal data may also be shared with booking agents who process personal data based on an agreement with us. These are called Data Processors and we have specific agreements with all of them.
Transferring Data to Third Country
Akademihotellet AB, our providers and collaboration partners as a main rule only process personal data within EU/EES.
For how long are your Personal Data stored?
Your personal data are never stored for longer periods than are permitted according to Swedish law, regulation, practice or decision by authority. Personal data are stored only for the period of time needed for us to administrate our contractual relationship, exercise our rights and fulfill our commitments towards you. Deselecting personal data for hotel/conference customers will be performed at the latest one year after last checkout.
Your rights according to EU´s Regulation of protection of Personal Data GDPR
In accordance with the effective Data Protection Legislation you have a right to get access to information about which data about you that are being processed by us. Under certain conditions, you have a right to demand correction, deleting or limitation of your personal data and also to object against our processing of these. Should you have any complaints regarding our processing of your personal data, you have a right to present complaints to the The Swedish Authority for Privacy Protection’s (IMY) or other certificated authority which exercises surveillance over processing of personal data in enterprises.
Changing, deleting or viewing your Personal Data
Should you want your personal data to be changed, please inform Akademihotellet AB about this. Akademihotellet cannot be held responsible for problems emerging from incorrect or obsolete personal data if you have not given us information about the change.
